LMS for tutoring centers

The LMS for tutoring centers that outgrew the spreadsheet

Tutoring centers run on a stack: Calendly for scheduling, Zoom for sessions, Drive for materials, a spreadsheet for grading, WhatsApp for parents. Classentra collapses it into one workspace — multi-tutor, per-student progress, parent reports, and certificates — without a $30k/yr enterprise LMS contract.

K-12 pricing + parent/COPPA/FERPA notice

K-12 institutional pricing starts on the Team tier ($2,400/yr for up to 50 students). Parent-observer accounts, COPPA mode, FERPA DPA, and Clever/ClassLink rostering are available on the Company tier — talk to sales before rolling out below 13s or to a public district.

What tutoring centers stitch together

Five tools, four logins, one frustrated parent

A tutoring center with five tutors and 80 students runs delivery on five tools and a spreadsheet. Tutors lose ten minutes per session pulling notes from the last meeting; the center director can't tell which students are slipping; parents email asking 'how is she doing?' and the answer takes a tutor 20 minutes to assemble from three places.

TutorBird and TutorCruncher solve the scheduling + billing half but treat the actual teaching as an afterthought. Generic LMS tools (Canvas, Schoology) want to sell to districts. The shape in between — multi-tutor, per-student progress, parent reports, certificates — has no obvious tool, and most centers default to bespoke spreadsheets.

Classentra is the LMS shape for the tutoring center. Each student has one page: session history, progress notes, upcoming sessions, materials, and a parent-readable report. Each tutor sees only their assigned roster. The director sees everyone. No spreadsheet stitching. No five-tab parent-update assembly.

What you get

Six capabilities tutoring centers actually need

Every feature below ships today. Parent-observer accounts and COPPA mode for under-13 learners are Company-tier add-ons — talk to sales for the regulated configuration.

Multi-tutor + role permissions

Assign tutors per student or per program. Granular roles — owner, tutor, learner, parent-observer (Company tier). Tutors only see their assigned roster; the director sees everyone.

Per-student sessions + attendance

Each student has a personal session timeline. Native Daily / LiveKit live video; embed Zoom or Meet if you prefer. Attendance auto-captures per session and rolls up to the parent report.

Progress notes per student

Record what was covered, what's next, and how the student is doing. Notes are private to the tutor by default; promote to parent-shareable in one click. AI-drafted summary from the last 5 sessions for quick parent updates.

Parent-readable reports

Per-month or per-term progress summary per student. Share via signed link (no parent account needed) or PDF. Dedicated parent-observer logins are a Company-tier add-on.

Client messaging per student

A dedicated channel with each student (and optionally a parent) that stays separate from your personal texts. Search past conversations. Mute notifications after hours.

Certificates + course completion

Issue branded certificates at end of program with a public verification URL. Parents share the verifier link with the next school or a scholarship application — no PDF authenticity questions.

FAQ

Common questions from tutoring centers

Are you a replacement for TutorBird / TutorCruncher?
Partially. TutorBird and TutorCruncher are scheduling + billing tools with light note-taking. Classentra is the LMS + delivery + progress + parent-report half. Most centers we work with either replace TutorBird outright (Classentra handles sessions + invoicing via Stripe) or pair the two (TutorBird for parent billing, Classentra for delivery). Both paths work.
Can we run live tutoring sessions inside Classentra?
Yes — native Daily / LiveKit live video with auto-attendance, recording, and chat. Recordings save to the student's page. If you prefer Zoom or Meet, embed them per session; attendance is still captured.
Can parents see progress without getting an account?
Yes. Per-student progress reports generate a signed link that needs no parent signup. The parent opens it on their phone, sees the last few sessions, recent notes the tutor promoted to parent-shareable, attendance, and upcoming work. Dedicated parent-observer logins are a Company-tier add-on if you want a persistent portal.
How does multi-tutor work? Can tutors see each other's students?
Each tutor is assigned to specific students or programs and only sees their own roster. The center director or owner sees everyone. You can also share students across two tutors (e.g. math + science). Permissions are granular per role.
Are you COPPA compliant for under-13 students?
Classentra runs under a PIPEDA-aligned + GDPR-aligned DPA. COPPA mode (no marketing emails to minors, parent-consent gating on signup, age-gated AI features) is a Company-tier toggle. For centers enrolling under-13s as the majority of the roster, request the K-12 packet before signup.
Can students pay us directly through Classentra?
Yes, via Stripe Connect on Pro + Business — payouts route directly to your bank with 0% Classentra platform fee on Pro. For monthly retainer billing, payment plans, or family-account invoicing, most centers pair Classentra with TutorBird or a separate billing tool.
